Using a UPI QR for society collections: what works and what doesn’t

UPI has quietly solved the hardest part of festival collection — the physical cash. It has also created a new problem that most committees discover in week two: a bank statement full of credits from names that do not obviously map to flats.

Use the society’s UPI ID, never a personal one

This is the one rule that is not negotiable. The moment festival money lands in the treasurer’s personal account, it is mixed with their salary, their rent and their groceries — and no amount of good faith will make that statement presentable at an AGM. Use the society or mandal’s own UPI ID, and if you do not have one, that is the first thing to arrange.

A payment is not a collection until you match it

Here is the honest mechanic of it: a resident scans, pays, and shows you their screen. Their UPI handle says something like “rk.pay@okaxis”. Your register says “A-1204, Ramesh Deshmukh”. Nothing connects those two except the human standing in front of you — which is precisely why the match has to happen in that moment, not from a bank statement at the weekend.

In Kosh the flow reflects that reality: you show the QR for the exact amount, the resident pays, you confirm the payment landed and record it against their unit on the spot. The numbered receipt is issued immediately, and the collection is now attributed to a flat rather than to a handle.

Reconcile the statement against your records

At the end of each day, compare the UPI credits in the account with the collections you recorded as UPI. They should agree. When they do not, it is almost always one of three things — and finding out which, on the day, takes minutes.

  • Somebody paid and nobody recorded it — a credit with no collection
  • Somebody was recorded but the payment failed — a collection with no credit
  • A resident paid the wrong amount and nobody adjusted the record

Keep cash as a first-class option

A meaningful share of every society — often the older residents, often the most reliable payers — will hand you notes, and that is fine. The goal is not to eliminate cash; it is that both routes end in the same place: a recorded collection against a unit, with a numbered receipt.
