How to reconcile UPI payments against your bank statement

To reconcile online UPI payments against your bank statement in Om Kosh, download the statement from your bank as CSV or Excel and upload it. The system reads every credit line, matches it to your recorded online payments on the transaction reference (UTR) and amount, automatically verifies the matches, issuing each member’s receipt, and flags the payments it could not find so you can chase them. Why reconciliation matters for a committee

When members record their own UPI payments, you are trusting a screenshot and a typed reference number. Most are genuine, but some are wrong: a transposed UTR, an amount ₹100 short, or a screenshot from a payment that failed. Reconciliation is how a treasurer proves, to the committee, the AGM and the auditor, that every rupee in the report actually landed in the society’s account.

How the matching works

Om Kosh compares two lists, what members claim they paid, and what the bank actually received.

  • Exact match on UTR and amount → payment is verified and a numbered receipt is issued
  • UTR matches but amount differs → flagged as a short/partial payment for you to review
  • No matching credit in the statement → flagged as unverified so it never inflates your total
  • Bank credits with no matching record → surfaced so you can attribute walk-in or offline UPI

When a payment doesn’t match

For anything flagged, you have two clean options. Email the member to ask for the correct reference or a fresh payment, or revert the payment to “not paid” so it drops out of your collected total. Either way the member’s status reflects reality, and you never issue a receipt for money you don’t have.

A simple weekly rhythm

What file format does the bank statement need to be?

CSV or Excel, exported from your net banking. Most Indian banks let you download a statement for a date range in one of these formats.

What is a UTR and where does the member find it?

The UTR (Unique Transaction Reference) is the reference number shown in the member’s UPI app after a successful payment. Om Kosh matches on it plus the amount, which is why it asks members to enter it.

Can I revert a payment that never actually arrived?

Yes. Any payment that doesn’t match the bank statement can be reverted to “not paid”, and you can email the member automatically to ask for a correct payment.

Does reconciliation issue receipts automatically?

Yes, when an online payment matches the bank statement, the member’s numbered receipt is issued at that moment, so a receipt only ever exists for money you’ve actually received.
