Navratri is harder to account for than most festivals, and it is not because the amounts are bigger. It is because the money arrives in four or five different shapes, across nine consecutive nights, while everyone involved is also running an event.
Separate your income streams before night one
Most Navratri committees are collecting more than one kind of money. Mixing them into a single “Navratri collection” figure is what makes the final report impossible to explain.
- The per-flat or per-member contribution — your base collection
- Sponsorships — the sound system, the stage, a garba night, the prizes
- Donations from outside: shops, local businesses, visitors who are not members
- Expenses paid directly by a committee member, to be reimbursed later
Close the books each night, not on day ten
The single habit that separates a clean Navratri from a painful one: reconcile at the end of every night. Count the cash in hand, compare it to what was recorded, and settle the difference while the people who collected it are still standing there. On night nine, a mismatch is a mystery. On night two, it is a memory.
Recording collections as they happen makes this trivial — the running total is already correct, so the only question is whether the cash box agrees with it.
Sponsorships need their own line
A garba night sponsor is not a contribution — the amount is different, the recognition is different, and the sponsor expects to be credited by name on the report. Keep sponsorships as their own record with the item and any dedication attached. Publish while people still care
